Staff Room — Privacy Policy

Staff Room is a workforce-management app used by pharmacies and other small businesses to run rostering, time & attendance, team communication, forms and bookkeeping. Each business that uses Staff Room has its own private workspace, and staff accounts are created and managed by that business. This policy explains what the app collects and why.

Who we are

Each business that uses Staff Room is the controller of its own staff's data and manages accounts for its team; Staff Room operates the platform and processes that data on the business's behalf to provide the service. A business's data is kept separate from every other business's. For a request about your workplace's data, contact your workplace administrator. Information we collect

• Account & profile — your name, work email, role/title, profile photo and contact details, provided by your employer or by you.
• Location — when you tap Clock in, your device location is used once, at that moment, to confirm you are at an approved work site (geofencing). Location is not tracked in the background or while you are not clocking in.
• Time & attendance — clock-in/out times, breaks, timesheets, leave and shift information.
• Photos — photos you choose to attach (e.g. to the staff photo feed) or, for clinical dispensing forms, images of scripts/supply. Clinical images are encrypted on your device and sent only to the pharmacy's clinical system; they are not stored in the general cloud.
• Payroll details — bank account details you enter for payroll, where applicable.
• App content — messages, kudos, surveys, training results, tickets and similar workplace content you create.
• Device tokens — a push-notification token so we can send you work notifications.

How we use it

• To operate rostering, time & attendance, payroll preparation, training, communication and clinical workflow features.
• To verify on-site clock-ins and to send you work-related notifications.
• We do not sell your data, and we do not use it for advertising or third-party tracking.

Sharing

Data is visible to authorised managers/administrators of your pharmacy as needed to run the workplace, and to service providers that host the app (cloud hosting) and deliver push notifications (Apple/Google, Expo). Clinical data is shared only with the pharmacy's clinical (Practice) system. We may disclose information where required by law.

Retention

Workplace, payroll and clinical records are retained for as long as required by your employer's obligations and applicable law (for example, employment and pharmacy record-keeping requirements).

Your choices & account deletion

You can request deletion of your account directly in the app: More → Edit profile → Request account deletion. This notifies an administrator, who will remove your account and associated personal data, except where records must be retained to meet legal, payroll or pharmacy-regulatory obligations. You can also email us at the address above to access, correct or delete your information.

Security

Data is transmitted over encrypted connections. Clinical form data is end-to-end encrypted on your device before transmission to the pharmacy's clinical system.

Children

Staff Room is a workplace app intended for employees and is not directed at children.

Changes

We may update this policy; the “last updated” date above reflects the latest version.
